  • Get high security key information.
  • Real Time Manager can be used to generate estimates for any service.
  • For a comprehensive overview of all key information on a given day, use the “Daily Services Status Report”. This report includes the number of services, the status of each service, which employee each service was assigned to and if any services were cancelled, forwarded or moved.
  • Cancelled reports are sorted by the sub-employee who was assigned to perform the service. Cancelled reports also include the time of the customer’s cancellation call and the receptionist they spoke to.
  • One picture is worth a thousand words. Google Maps is incorporated into Real Time Manager to allow you to view and manage all of your active services on one map so no one is left behind.
  • As a growing company, your list of service providers will continuously grow. Real Time Manager keeps all of your service providers organized to streamline the process of assigning services.
  • To allow you total control over your finances, you can view and edit all of your financial records. You will never miss another unpaid service or outstanding balance.
  • The “Schedule” icon at the top-right of your screen will open a flexible planner where you can manage work schedules, meetings and other important appointments. The planner can display a daily, weekly or monthly views. You can display one person’s schedule at a time or see everyone’s schedules together on the same planner. You can also open a timeline for an individual user to see their schedule in further detail.
  • The profit and loss report is a comprehensive financial overview that includes every service you perform. Every service is listed along with a great deal of information. This report includes customer names, addresses, the date of the service, the type of service, the time each service was performed, the cost of parts, the cost of labor, the amount and type of each payment made, the outstanding balance, the sub-employee who performed the service, the overall price, the commission paid and your profit from the service.

  • Use “Edit Services” to view and modify the date of any service.
  • Print a hard copy record of a specific service.
  • Day services can be viewed and daytime commission can be defined.
  • Night services can be viewed and any extra night time commission can be defined.
  • Send this service information to a sub-employee. You can send the information via e-mail or you can send an SMS message. Your SMS message limit depends on your user license package.
  • When your employee confirms that they will perform the service, you can check a box to clearly indicate this and prevent any confusion.
  • Check real time traffic information and find out how long it will take to get to your next job.
  • Get advertisement report for a zip code to find out if your advertising dollars are being well spent.

  • How Does The System Work?  The Real Time Manager system was designed from the ground up to be very user friendly. This help section was created to assist you in exploring all elements of this system and to allow you to fully benefit from the powerful tools we have included.
  • Company Information:  Our specialists will customize Real Time Manager with your company’s unique properties and information.  Our specialists will input your company name, service type, phone numbers, contact name and other information as part of your unique identity. Once you begin using Real Time Manager it is particularly important to setup your hours of operation, because scheduling and commission rates will be based on this information.
  • Default Provider:  A default service provider will be created when you start using Real Time Manager. Whenever you add a new service you have the option of using the default provider or selecting a different provider.
  • Parts and Groups:  Inventory management and component pricing can be handled on the “Admin” page under the “Parts And Group Lists” button. Parts are sorted by groups that can be edited or deleted if necessary.
  • Zone:  What county are you serving? The first step in defining your area of work is to select the counties in which you operate. A job can only be completed and closed if the service is performed in a zone your company is setup for. To input a service from outside your normal service zone, you will first need to set up a sub-employee for that zone.
  • Employee Zones: All employees are defined by the zone in which they work. Employees will be displayed only in the zone they are set up for. If there is only one employee assigned to a zone where a service is requested then they will be the only employee displayed.
  • Providers: New service providers can be created in the “Admin” section under the “Add New Service Provider” button. Fill out the required fields accurately to keep your system running smoothly and efficiently. If you need to edit any details of a specific provider, you can do so from this view.
  • Sub-Employees:  You can edit or add to your list of sub-employees from this view.
  • Payment Types:  All of the charges you have made are recorded in an organized report. In this window you can view all monetary information related to services you have provided. Your fees are also broken down by percentage into cash, check and credit.
  • Day Service:  Input the amount of commission your sub-employee will receive when performing a service during the day.
  • Night Service: Input only the extra commission your sub-employee will receive when performing a night time service on top of their day time commission.
  • Preferred Employees: Your sub-employees can be rated using an easily-understood star system. Those with the highest star ratings will be preferred over lower-rated individuals.
  • Delete Services: If a service needs to be deleted for any reason, you can do so here. All services that are deleted can be recalled and re-assigned if necessary.

Report Icons

  • Source or Sub Report: Source reports include every service completed by that company.   Sub-employee reports include every service completed by that worker.  Reports are divided into open and closed reports.
  • Receptionist Report:  Each time a receptionist handles a service their actions are recorded. To find services handled by a specific receptionist, select the user name and the dates you would like to display.
  • High Security Key System:   You can view information related to your high security key system customers in this report. Their contact information, lock, key cut and part numbers are stored here. You can search for specific reports by defining the customer name, phone number, invoice number or by the employee who performed the service.
  • Profit And Loss Report:  This report includes customer names, addresses, the date of the service, the type of service, the time each service was performed, the cost of parts, the cost of labor, the amount broken down by payment type, the outstanding balance, the sub-employee who performed the service, the overall price, the commission paid and your profit from the service.
  • Graphs: Declined jobs (How many jobs were declined and the reason why), Referral Sources (Track where you get the most business from), and Day/Night Services (How many of that day’s services were completed during the day and which were completed at night)

  • Add New Service: Select a service provider for a new service.
  • Search for Service: You can search for a service by zip code, phone number, invoice number or customer name.
  • Locate Services On Map:  You can use Google Maps to view all of your company’s active services. They will be labeled with all of the service details.
  • Estimates Job List: View a list of current estimates.
  • Call Back Service Status: View a list of re-requested services.
  • High Security Keys:  Get high security key information.
  • Find Service By Date:  Find services by date.
  • Cancelled Jobs:  Find cancelled services by defining the employee.
  • Unpaid Services: View and edit services that are unpaid or have incomplete transactions by defining the amount.
